About the role:

• The Compliance Intern is responsible for managing all controlled documents within the organization.
• This role ensures that all manuals, forms, and documents are accurately recorded, updated, and distributed in compliance with regulatory requirements.
• The Compliance Intern will report directly to the Quality Assurance Manager and play a key role in maintaining the integrity and accessibility of quality documentation.

Responsibilities:

• Maintain records of all controlled manuals, forms, and documents in the controlled document register.
• Ensure that the latest revisions of all controlled documents are available in both physical and digital formats.
• Review new or amended documents for errors or omissions and advise the Quality Assurance Manager of any necessary corrections.
• Print, bind, and distribute new and amended controlled documents, procedures, work instructions, notices, and bulletins to relevant staff.
• Manage the distribution of amendments to controlled documents and maintain accurate records of this process.
• Support the Quality Assurance Manager in ensuring all quality and compliance documentation is up to date and accessible.
• Assist in the preparation and organization of audit documentation and reports.
• Coordinate with internal and external audit participants to ensure smooth communication and documentation flow.
• Maintain the company’s controlled-document drive and ensure it is updated regularly.

Requirements:

• Minimum of 2 years of administrative experience, preferably in an aviation or technical environment.
• Strong organizational and analytical skills with attention to detail.
• Proficient in computer literacy, including standard office applications and spreadsheets.
• Excellent written and verbal communication skills in English. Additional languages are an advantage.
• Ability to handle confidential information with discretion.
• Ability to work independently and as part of a team, managing multiple tasks simultaneously.
• Strong time management skills and the ability to meet deadlines.
• Familiarity with document control systems and quality management systems is advantageous.
